ONE MACHINE. ONE REAL PROBLEM. A factory software evaluation brief Use this worksheet to agree on a small, useful evaluation with your team. 1. THE PROBLEM Which recurring fault, handoff, or reporting task are we evaluating? Machine / area: Problem: How do we handle it today? Where do we lose time or context? 2. THE PEOPLE Who owns the problem? Who will try the workflow? Who needs to see the evidence before we expand? 3. THE FIRST QUESTION Which manual or records will we use? What question should the system answer? How will we check the answer against the original source? 4. THE HANDOFF Which request, investigation, or closeout will we walk through? What context must the next person receive? Which actions need an authorized person's decision? 5. THE SUCCESS CRITERIA Record the current process before trying the new workflow. Choose a measure you can actually observe: time spent finding the answer, missing information at handoff, or preparation time for an operating review. Baseline: What would count as a useful improvement? Review date: 6. THE ROLLOUT DECISION What worked? What remains unproven? Which records would need importing, and who will check their quality? Are machine connections needed? Which sources are supported? How many paid team seats are needed? Confirm current pricing and trial terms. What setup effort and responsibilities have we agreed with the vendor? Decision: expand / adjust the evaluation / stop. Start small. Check the evidence. Expand when the team has a reason to.
